FUNCTION: To provide
support in all aspects of the admissions process including residency issues,
TSI status, and prerequisite levels.
Assist with general support to the Associate Registrar.

RESPONSIBILITIES
Essential
Job Functions
1)
Process admission
applications for credit students accurately; determine and document residency
(final approval for SCC), TSI status, pre-requisite levels, and eligibility for
waivers. Maintain familiarity with
changing admissions regulations policies and procedures. Proof and code processed applications.
2)
Maintain the ARO Help
Manual and communicate new/changed information to college staff, via telephone
calls or electronic mail to ensure correct information for students.
3) Check ARO website daily, making changes weekly to registration information, final exam schedule, adding forms for easy student access, and updates from the Texas Higher Education Board (i.e. updates on Texas grants.
4)
Set-up phone bank at
the beginning of each semester/term and provide training and materials for
temporary clerks. Heavy telephone and
internet usage responding to student inquiries.
5)
Assist Associate
Registrar with supervision including hiring, training and supervising part-time
temporary staff during registration periods.
6)
Send e-mail reminders
to student services staff and other college staff related to deadlines and
changing policy. Maintain current
knowledge of services available at all district sites in order to make
appropriate and timely referrals.
7)
Coordinate and
accurately determine eligibility of athletes.
Process forms for Physical Education.
Enter PTK and Psi Beta members into SIS to appear on student
transcripts.
8)
Meet with students to
resolve problems as they arise. Analyze
transcripts for possible pre-requisite levels.
Process enrollment verifications.
9)
Process, input and
distribute grade changes. Accept and in
some cases input grades from grade rosters.
10) Maintain confidentiality of student records (in compliance
with the Family Educational Rights and Privacy Act), organizational plans and
personnel actions.
11) Input session code information for schedule building and
distribution of charts to departments.
12) Conduct telephone etiquette training for ARO staff
district-wide. Give admissions training
to new ARO employees. Instruct faculty
and staff on FERPA issues.

Job Functions
Serve as back-up to Associate Registrar.
Provide information at service counter, answer phones and
assist with data entry.
Assist with set-up of on campus registration.
Serve as back-up support for Admissions/Records area.
Travel between campuses to attend meetings, workshops and
seminars.
Assist students with non-credit registration.
Courier documents between CCCCD sites.

QUALIFICATIONS
Knowledge,
Skills and Abilities
Knowledge of effective customer service techniques with the
ability to present one's self and the college in a positive and professional
manner.
Ability to perform assigned responsibilities, duties and
tasks according to established practices, procedures, techniques and standards
with minimal supervision within the assigned time frame.
Ability to understand when referrals to supervisors and/or
other departments are appropriate.
Ability to shift quickly between tasks without loss of
continuity or positive customer service.
Ability to work various hours, including day and evening and
extended hours during registration and graduation
Ability to work in a fast-paced environment with constant
noise and/or interruptions.
Skill to apply modern office practices and equipment and
skill to input information via computer keyboard.
Ability to listen attentively and demonstrate understanding.
Ability to provide accurate information or assistance in a
timely and courteous manner.
Skills to effectively communicate orally and in writing.
Ability to maintain restraint and keep calm when faced with
interpersonal conflict and/or emotional or angry individuals.
Ability to call for assistance in potentially dangerous
situations.
Ability to independently identify and undertake additional
tasks to be accomplished.
Ability to regularly lift or carry objects up to
approximately 20 pounds.
Effective
keyboarding skills and knowledge of related software to include Microsoft Front
Page and Publisher for updating ARO website.
Ability to work with constant, extreme noise or
interruptions.
Ability to demonstrate safe work habits and safe use of
equipment.
Ability to perform all essential functions of the position.
Education
and Experience
Education: Associates degree from a regionally
accredited institution.
Experience: Three years of experience working in a
registrar or enrollment management office, or directly related experience to
include one year of supervisory experience.
Knowledge of IBM compatible PC,
word processing software, Microsoft FrontPage and Publisher. Excellent organizational and interpersonal skills are
required. Strong written and oral
communication skills with the ability to relate well to students, faculty,
staff and the general public in a friendly, courteous and professional manner.

equivalent combination of training or experience.
Licenses/Certificates
Notary Public
NOTE: Normal hours 8 a.m. to
5 p.m. Monday through Friday. Evenings
and weekend hours during peak periods and graduation.
