TITLE: Administrative Assistant
DIVISION: Health Sciences and Emergency Services

FUNCTION: Provide assistance for the Director of Nursing by coordinating functions
required for the efficient operation of
the Nursing Program.
REPORTS TO: Director of
Nursing

MAJOR
RESPONSIBILITIES
Essential
Job Functions
1) Prepare, analyze and maintain research data
spreadsheets for accreditation reports, self-studies, etc.
2) Assist with the assessment of the annual budget
worksheet process/capital, instructional and supplemental requests.
3) Coordinate class schedules, verifying contact hours
and ensuring consistency in time windows for submission to the Dean. Issue student permits for said classes.
4) Collaborate on the preparation of initial faculty
load reports each semester for accuracy of full-time and associate faculty
payroll data for submission to the Dean.
5) Prepare Petty Cash, Check Requests, Field Trip, Staff
Meeting Reimbursement, etc. forms for submission to the Dean.
6) Coordinate the review and editing of the college
catalog and the schedule of classes for the Nursing Program.
7) Maintain
nursing WEB site information and assist with additional WEB site development.
8) Provide clerical support including but not limited to
filing, typing correspondence, syllabi, handbooks, and labels; proofread work
to ensure accuracy. Make copies of
correspondence or other printed matter, using copying or duplicating machine
and fax information when instructed.
9) Assist with
maintaining and updating yearly inventory for nursing department including
computer software, programs, videos and hospital lab equipment.
10) Answer
telephone, greeting callers in a friendly, courteous manner, directing callers
to the appropriate personnel, answering inquiries and transmitting instructions.
11) Greet campus
visitors, students, faculty, staff, and the general public in a friendly and
professional manner; ascertain nature of business and direct visitors to
appropriate person and/or provide accurate information.
12) Attend and
take minutes at all meetings lead by Director of Nursing when needed.
MINIMUM
QUALIFICATIONS
Knowledge,
Skills, and Abilities
Knowledge of office procedures and
machines (i.e. copiers and fax machines).
Knowledge of microcomputers and word
processing software.
Oral and written skills to convey
ideas, facts and information effectively and accurately to students, staff,
faculty and the general public.
Organizational skills with the ability
to prioritize and handle multiple tasks simultaneously.
Ability to follow instructions.
Ability to independently identify and
undertake additional tasks to be accomplished.
Ability to bend, stoop, squat or kneel
when filing or retrieving files.
Ability to push, pull, drag and lift up
to 40 pounds.
Ability to deal with a variety of
individuals in a fair and courteous manner.
Ability to maintain restraint and keep
calm when faced with emotional or irate individuals.
Ability to demonstrate safe work habits
and safe use of equipment.
Ability to establish effective working
relationships.
Ability to perform all the essential
functions of this job.
Education
and Experience
Education: Associate’s
degree from a regionally accredited institution. Clerical training with the ability to
organize, file, and maintain records.
Knowledge and ability to use word processing (Microsoft Word 2000).
Experience: Three
(3) years experience in an automated office environment or customer service
experience to include extensive telephone coverage and greeting the public
face-to-face. Must be able to
demonstrate knowledge of English composition and grammar skills. Excellent interpersonal skills are
required. Strong oral communication
skills with the ability to relate well to students, staff, faculty and the
general public in a friendly, courteous and professional manner. Experience in a health related educational
field a plus.
