FUNCTION: Coordinate functions required for the efficient operation of the Dental Hygiene Program and the efficient operation of the Health Sciences and Emergency Services Division. Perform administrative duties including purchasing, inventory control and budgetary reports; maintain a high degree of confidentiality; expedite materials or actions requested by the Dental Hygiene Program Director and/or the Dean of Health Sciences and Emergency Services. Provide back up support as required for the efficient operation of the Dental Hygiene Patient Office.

MAJOR RESPONSIBILITIES

Essential Job Functions:

1. Coordinate ordering of dental hygiene supplies and equipment by researching options. Timely preparation of dental hygiene requisitions for dental hygiene supplies and equipment utilizing Banner. Work as a liaison with the Dean's Administrative Assistant in the purchase order system process. Track requests and maintain relevant records.

2. Provide back up to the dental clinic front desk in greeting clients, scheduling appointments, and maintaining clinical records and forms.

3. Monitor and balance accounts receivable information for entire account or individual patients. Monitor and balance accounts receivable in dental hygiene clinic.

4. Process college, division and program forms. Maintain accurate records.

5. Represent the program director and dean in communication with students, teachers, volunteers, faculty, staff, general public, and providing accurate information in a timely manner.

6. Back-up the Assistant to the Dean in supporting the Program Director and Dean with inputting and monitoring the annual budget and maintaining inventory records for the program.

7. Share Advisory Committee responsibilities with the program director to schedule meetings, notifying committee members, taking and typing minutes, maintaining committee files.

8. Supervise student assistants.

9. Back up the Assistant to the Dean in organizing the review and editing of college publications related to the division, including electronic publications and in maintaining updated THECB and CCCCD course inventory data, including submissions to Collin's Curriculum Advisory Board.

10. Back-up the Assistant to the Dean and Program Director with dealings with Human Resources. These include working closely with Human Resources and Payroll to maintain accurate labor distribution of divisional and program staff, full and part-time; ensuring proper submission of accurate faculty load reports; maintaining division status reports on topics such as course banking; sabbaticals; study grants; professional development activities and travel; and FMLA absences for full-time division faculty; maintaining current knowledge of relevant college policies, processes and procedures appropriate to such duties as faculty workload, extra service and special contracts, release time, compensation, and schedule building.

Marginal Job Functions:

Collect and deposit funds to the appropriate accounts in the Bursar's office from various departments within the division as appropriate.

Maintain written procedures on primary job functions.

Perform other duties as assigned.

MINIMUM QUALIFICATIONS

Knowledge, Skills and Abilities:

Knowledge of Universal Precautions and their practice in a hospital setting.

Knowledge of current technology and software applications as appropriate for the program and the division.

Oral and written skills to convey ideas, facts, and information effectively and accurately to students, staff, faculty, and the general public.

Ability to organize, schedule, assign, delegate, coordinate, train and monitor the work of student assistants.

Ability to establish and maintain effective working relationships.

Ability to perform assigned responsibilities, duties, and tasks according to established practices, procedures, techniques and standards with minimal supervision within the assigned time frame.

Ability to learn and follow Universal Precautions as outlined by OSHA.

Ability to understand OSHA Standards and the necessity of compliance with Material Safety Disposal System (MSDS), disposal of sharps, and blood borne pathogen management.

Ability to bend, stoop and/or squat when performing administrative duties.

Ability to lift, carry, push or pull up to 25 pounds (packages, boxes of student evaluations, etc.).

Ability to independently identify and undertake additional tasks to be accomplished.

Ability to act quickly and effectively in an emergency situation.

Ability to perform all the essential functions of this job.

Education and Experience:

Education: Associate's degree from a regionally accredited institution in a related field.

Experience: Three years of directly related work experience to include demonstration of strong written and oral communication skills and the ability to relate well to students, staff, and the general public. Demonstrated experience in the use of a personal computer and a variety of software including: word processing and spreadsheet applications (Microsoft Word and Excel).

Any equivalent combination of training and experience.

Licenses/Certificates: CPR Certification suggested. Other: Hepatitis B Vaccination suggested once hired.
