TITLE: Administrative Assistant

FUNCTION: Coordinate functions required for the efficient operation of the
Engineering Technology Department. Perform administrative duties; maintain a high degree of confidentiality; coordinate schedule of classes and prepare reports. Expedite materials or actions requested by the Executive Director/Dean of EET.
REPORTS TO: Executive Director of Engineering
Technology
SUPERVISES: N/A
1)
Assist the dean with projecting future scheduling needs, and
other resources needed by the division.
2)
Coordinate, input and proof class schedules, verifying
contact hours and ensuring consistency in time windows; assign section numbers
and rooms. Input all scheduled data
into the Student Information System (SIS).
Coordinate and monitor division course catalog updates.
3)
Perform clerical functions necessary to submit and maintain
appropriate information to the State Coordinating Board regarding course
inventory for the department to ensure the programs are recognized.
4)
Serve as liaison between students, teachers, volunteers,
faculty, staff, general public and the Division responding to questions,
providing accurate information in a timely and courteous manner, and resolving
problems.
5)
Coordinate and maintain the building/monitoring/scheduling
of Continuing Education courses offered by the Division, including, but not
limited to Cisco Instructor Training.
Responsible for ensuring payment is received by the college for all
Cisco Instructor Training classes in
advance of the class.
6)
Collect and deposit funds to the appropriate accounts in the
Bursar’s office from various departments within the division.
7)
Flexible to travel between campuses to collect funds, attend
meetings and/or training sessions.
8)
Research and interpret relevant college policies appropriate
to such duties as purchasing, and schedule building.
9)
Coordinate ordering of supplies and equipment by researching
options, making recommendations for purchases; submit the request via the
BuySpeed system; follow-up on the request and maintain relevant records.
10)
Share Advisory Committee responsibilities with the Assistant
to the Dean including, but not limited to, working with the coordinator to
schedule meetings, notifying committee members, taking and typing minutes,
maintaining committee files.
Cross-train to serve as backup for the
Assistant to the Dean .
Knowledge,
Skills, and Abilities:
Knowledge of microcomputers and
basic/advanced word processing software and data manipulation applications.
Knowledge of departmental and college
policies, procedures and practices with the ability to answer work related
questions; and/or interpret and apply these policies and procedures correctly
in various situations.
Ability to establish and maintain
effective working relationships.
Ability to provide accurate information
or assistance in a timely and courteous manner.
Ability to perform assigned
responsibilities, duties, and tasks according to established practices,
procedures, techniques and standards with minimal supervision within the
assigned time frame.
Ability to independently identify and
undertake additional tasks to be accomplished.
Oral and written skills to convey
ideas, facts and information effectively and accurately to students, staff,
faculty, and the general public.
Ability to listen effectively and
demonstrate understanding.
Ability to maintain restraint and keep
calm when faced with interpersonal conflict and/or emotional or angry
individuals.
Ability to perform all the essential
functions of this job.
Education: Associates
degree required (Bachelors desired) from a regionally
accredited institution in a related field.
Experience: Three
(3) years of directly related experience.
Demonstrate strong
written and oral communication skills with the ability to relate well to students, staff, and the general public. Ability to use a personal computer and various software packages including: word processing, graphics, database, and spreadsheet applications.

training and experience.
