FUNCTION:              Process, maintain and reconcile student third party billing on the SIS Billing & Receivable System and FRS General Ledger. Process and reconcile financial aid, student refunds, auxiliary fund write-offs, bookstore charges, NSF checks and other student accounts as assigned.  Compute, collect/ disburse and process tuition payments, loan payments, and financial aid.

MAJOR RESPONSIBILITIES

 

Essential Job Functions:

 

1)     Reconcile, analyze, and/or verify student accounts and process documents of tuition refunds (cash, check, credit cards and manual refund processes.)

 

2)     Maintain and/or analyze and/or verify fee options for tuition calculations working closely with administrative assistants from each discipline.      Serve as backup to Accountant II - Bursar for setting up tuition and fee tables.  Calculate and maintain special session code refund chart.

 

3)     Update daily (data entry) and ensure the accuracy of all students' account balances for credit and non-credit.

 

4)     Process and/or calculate and distribute checks (financial aid, student loan, refund, reimbursement, payroll).

 

5)     Responsible for the collection and processing of student tuition, loan payments, and division deposits.

 

6)     Issue receipts indicating appropriate accounts. Maintain and process credit card batching from phone bank and/or voice registration (PC batching) when required.

 

7)     Balance tuition receipts with deposit records and batch for data input during on-campus registration and on payment deadlines.

 

8)     Work closely with Accountant II - Bursar, Cashier supervisor, and computer services to ensure accuracy of all tuition calculation processes for credit and non-credit courses.

 

9)     Assist Accountant II - Bursar and Cashier Supervisor in the maintenance and reconciliation of records for returned checks, emergency student loans, deferment plans, and third party billing accounts.  Ensure that all outstanding accounts have the proper hold flags.

 

10) Work with accountants to reconcile miscellaneous errors on student accounts.

 

11) Provide accurate information to students regarding their account balances or assist students, faculty, staff, and the general public in a timely and friendly manner.

 

12) Provide for the safekeeping of all monies received in the cashiers' offices and the timely deposit of monies.  Properly account for all monies received in the cashiers' offices.

 

Marginal Job Functions:

 

Assist in training of full and part-time cashiers.

 

Serve as back up for Cashier Supervisor.

 

Required to work over-time during peak periods and during registration.

 

Travel between campuses as needed to cover shortage, attend workshops, conferences, seminars, meetings, etc.

 

Knowledge, Skills and Abilities:

 

Ability to use computer software approved by the District on the PC and on a mainframe.

 

Skill in using 10 key adding machine by touch.

 

Effective keyboarding skills and knowledge of related software.

 

Knowledge of cash collection procedures.

 

Knowledge of bookkeeping/accounting procedures.

 

Knowledge of data entry procedures.

 

Skill in making simple arithmetic calculations.

 

Skill to legibly record financial transactions by hand.

 

Ability to identify and use potential sources of data.

 

Ability to perform assigned responsibilities, duties, and tasks according to established practices, procedures, techniques, philosophies, and standards with minimal supervision.

 

Ability to fulfill requests or otherwise provide services, accurate information, or assistance in a courteous and timely manner.

 

Ability to shift quickly between several tasks without loss of continuity.

 

Ability to complete work that is precise and includes few or no errors.

 

Ability to make rapid, accurate scanning movements with the eyes.

 

Knowledge of micro-computers.

 

Knowledge of effective oral and written communication skills.

 

Ability to maintain restraint and keep calm when faced with emotional or angry individuals.

 

Ability to stand, stoop, bend, and kneel.

 

Ability to lift, pull, push, carry objects, money and reports up to approximately 20 pounds and/or occasionally lift about 30 pounds.

 

Ability to perform assigned responsibilities, duties, and tasks according to established practices, procedures, techniques, and standards with minimal supervision within the assigned time frame.

 

Ability to perform all the essential functions of this job.

 

 

Education and Experience:

 

Education:               Associate’s Degree.

 

Experience:             Three (3) years directly related experience.

 

OR

 

Any equivalent combination of training and experience.
