FUNCTION:              Responsible for the supervision of the Bookstore's shipping and receiving area.  Maintain and operate all shipping and receiving equipment.  Ensuring all work is performed within the established safety guidelines of the District and OSHA.  Responsible for security of merchandise in the receiving area.   

       

REPORTS TO:        Assistant Manager at Spring Creek Campus

MAJOR RESPONSIBILITIES

 

Essential Job Functions:

 

1)     Receive all merchandise for bookstore.  Check accuracy of  cartons received to the freight bill.  Ensure over/short, damaged, breakage and deviations are recorded on all copies of the freight bill and signed by the delivery driver.

 

2)     Ensure delivery is secured inside the receiving area according to department guidelines.

 

3)     Check merchandise with bookstore purchase order to ensure all items were received, record discrepancies if any. Attach freight bill and forward to assistant manager for payment.  Record incoming/outgoing of merchandise in the freight log. 

 

4)     Coordinate pricing of merchandise with the appropriate manager or supervisor and print barcodes in accordance with established policies and procedures.   Maintain mark-up/mark-down book information.

 

5)     Process all book and merchandise returns in accordance with established policy and procedures.  Ensure all items are packed properly, freight bill prepared accurately, ship using appropriate freight company to the correct vendor or publisher.  Verify all freight invoices for accuracy.

 

6)     Coordinate and supervise stocking and placement of merchandise in the textbook area of the bookstore. 

 

7)     During final exams, assist used book representatives with purchasing of textbooks and using the computer.  Enter (data entry) used book inventory into the computer to ensure proper documentation.  Buy-back textbooks for bookstore and wholesale companies. 

 

8)     Operate a variety of machines and equipment including 10 key, point of sales electronic cash register, credit card machine, photocopier, barcode machine, facsimile, pallet jack, telephone, PC, etc.

 

9)     Ensure the receiving area is clean and neat daily.  Recycle cartons from incoming freight for future use (shipping and returning merchandise and books); and place unused cartons in trash dumpster after breaking them down.

 

10) Work irregular hours to include at least one night each week; overtime during registration, first three weeks of class, during inventory and buy-back of textbooks.

MINIMUM QUALIFICATIONS

Knowledge, Skills and Abilities:

 

            Ability to operate a variety of machines and equipment including 10 key, point of sales

            electronic cash register, credit card machine, typewriter, photocopier, barcode machine, facsimile, pallet jack, telephone and PC.

 

            Knowledge of retail accounting, pricing methods and computations.

 

            Knowledge of OSHA and department policies, procedures, and practices, with the ability to interpret and apply these guidelines correctly in various situations.

 

            Ability to withstand to considerable pressure and follow an activity, project or plan of action from its' inception through implementation without losing control or perspective.

 

            Oral and written skills to convey ideas, facts, technical information, or perceptions accurately, thoroughly, and in a manner easily understood by students, staff, faculty, and the general public.

 

            Ability to perform assigned responsibilities, duties and tasks according to established practices, procedures, techniques, and standards with minimal supervision within the assigned time frame.

 

            Ability to listen actively and demonstrate understanding.

 

            Ability to meet deadlines for assigned reports and projects.

 

            Ability to maintain restraint and keep calm when faced with emotional or angry individuals.

 

            Ability to sit or stand for long periods of time.

 

            Ability to squat, stoop, bend, or crawl while performing the inventory and receiving job responsibilities.

 

            Ability to regularly lift, push, pull or carry objects up to approximately 40 pounds and/or occasionally lift about 70 pounds.

 

            Ability to work in extreme heat, outdoors, indoors, fume/odor and dust/mites due to unpacking or cleaning books and disposing trash.

 

            Ability to make discrete and rapid movements of the arms or legs.

 

            Ability to use and maintain equipment/tools in a safe and correct manner.

 

            Ability to record inventory and maintain accurate records.

           

            Ability to perform all essential functions of the position.

 

Education and Experience:

 

            Education:

 

                        High School Diploma.

                       

            Experience:

 

                        Two years of directly related experience in shipping and receiving with the ability to operate point-of-sale electronic cash register, computers, barcode machine and the ability to communicate with students, staff, and general public in a courteous manner.

                        Any equivalent combination of training and experience.
